Enable Device Access Levels for Employee
As with all permissions and access level decisions, recommendations vary on your type of business as well as how much coverage you may have from management that is available to help employees when non-granted permissions and access levels are needed. The suggestions are to be used as a guide only.
Permissions
Access Level | Description |
Delete ORDER BEFORE Printing To the Kitchen/Bar Printer | This permission allows the employee to delete the entire order before it is sent to the SV Kitchen Display or the Kitchen printer. This is useful when a customer changes their mind and wants to cancel their order prior to it being sent to the kitchen. |
Delete PRODUCT BEFORE Printing To the Kitchen/Bar Printer | This permission allows the employee to delete an individual product of the order before it is sent to the SV Kitchen Display or the Kitchen printer. This is useful when a customer changes their mind and wants to cancel a specific product prior to it being sent to the kitchen. |
Delete ORDER AFTER Printing To the Kitchen/Bar Printer | This permission allows the employee to delete a complete order AFTER it is sent to the SV Kitchen Display or the Kitchen printer. In most situations this is seen as a manager's only permission as orders sent to the kitchen and then canceled can result in unforeseen costs and/or can be a source of employee abuse in some circumstances. |
Delete Product AFTER Printing To the Kitchen/Bar Printer | This permission allows the employee to delete a product or products AFTER it is sent to the SV Kitchen Display or the Kitchen printer. In most situations, this is seen as a managers' only permission as products sent to the kitchen and then canceled can result in unforeseen costs and/or can be a source of employee abuse in some circumstances. |
Open Cash Drawer | This permission allows employees to open the physical cash drawer without processing a cash transaction. We recommend to have this enabled for the only person managing cash and responsible for the drawer. It is also recommended that it be enabled only if warranted (i.e., frequent need to make change) but not enabled for newer employees or those in training. There are reports that can let managers know when drawers are open without a transaction to help prevent theft. |
Run Time Discount | This permission allows employees to apply for a discount on the spot. This is the % icon next to the name of the line item added to the order. We recommend having it enabled for certain employees only since it prevents from employees taking advantage of this setting. |
Non Time-based Discount | This permission will allow employees to apply a non-time-based discount. This is the standard 'Discount' icon. We recommend having celebrations that can be any time of the year such as birthdays or neighborhood discounts. |
Facebook Coupon Code | This permission applies to employees applying Facebook coupon codes that were created before from the "Marketing" section of the SalesVu dashboard. We recommend having it enabled for all the employees so the marketing campaign created can show better results. |
View/Manage Current Shift | This permission allows the employees to view the current shift report. The employee will be able to see how much cash has been added or subtracted from the total sales of the day. If it's not enabled, the piggy bank icon does not display. We recommend having it enabled for all the employees that will be managing the bank. |
View Previous Closed Shifts | This permission allows the employees to view the previous shift report. We recommend having this enabled for everyone since it allows the employee or manager to compare between shifts or review information from another day. |
View Reservations | This permission allows employees to view/manage the table layout. This is very useful for hostesses to be able to manage bookings and reservations and accommodate parties on the tables. |
Transactions Complete Screen "Back" Button Access | This permission disables the "back" button after the transaction is completed. This allows the employee to go back and take new orders without closing the app. We recommend having this enabled for everyone, for speed purposes. |
Coupon Codes | This permission allows employees to enter discount codes that have been created from SalesVu Portal at the POS to give customers discounts. Once discounts are created using SalesVu's portal, this is a great feature to use in conjunction with email or SMS marketing campaigns to encourage repeat customers. Those discount codes can then be presented to the cashier/server at time of payment for redemption. |
Return & Exchange | This permission allows employees to issue a return/exchange on the POS (via store credit/loyalty points). We recommend having this enabled for most of the employees since it speeds up the process of return & exchange by not needing to use the portal to complete. |
Receiptless Return | This permission allows the employees to issue a receiptless return (via store credit/loyalty points). This is recommended to be enabled for all servers, cashiers, managers, etc. |
Order refund & exchange | This setting will allow the employee to perform returns and exchanges via the portal in the dropdown settings option. In most situations, this is seen as a manager's only permission as employees usually do this in the POS and managers are the ones that have full access to the portal. |
Additional Charges | This permission allows the employees to apply additional charges. This is useful for credit card processing fees, for pre-authorization when available or for any other fee that is not a product or service that you want to add to the order and charge the customer. |
Allow Transfer Tip | This permission allows the employees to issue a tip transfer. This is useful for distributing the tips received on the shift to other employees. We recommend having this enabled only for managers so they can make the distribution quicker and easier. |
Payout Approval | This permission allows the employees to issue a tip payout. When this is enabled, a "Payout" button will show on the POS app to the employee that logged in. We recommend owners enable this to their managers in order to give them permission for tip payout from the cash drawer. |
Allow Gift Card Balance Transfer | This permission allows the employees to transfer gift card balances to another card. This is very useful when a customer loses their gift card and wants to add the balance to a new one. We recommend having it enabled for all servers, cashiers, managers, etc. |
Print Balance Tip Summary | This permission allows the employees to reset the payout summary page, which shows the total balance tip and the total amount of tips that have been paid out from the cash drawer. Employees can print it any time, we recommend as a best practice, to do it once they are done with their shift and leaving for the day. |
Show All Employee Shift Report | This permission allows employees to view the new individual "employee shift report". We recommend having it enabled for managers since this allows them to view every individual employee's shift. This will show the number of net sales performed during the employee's shift. |
Show Employee Shift Report | This permission allows employees to view their individual "employee shift report". This allows only the user/employee to view their own individual shift. We recommend having this enabled for everyone since it allows the employees to review their shift information, and keep track of their hours. |
Allow Event Mode | This permission allows the employees access the event mode on the SalesVu app |
Restrictions
Don't allow To Sell/Load Gift Cards | This permission allows the employees to sell gift card products or load gift card balances on every POS, for every customer. We recommended having it enabled for all servers, cashiers, managers, etc. |
Hide Shift Details | This permission allows the employee to hide shift details from employees (like shift sales totals or cash drawer totals). We recommend having this enabled when there are new staff members that may not use the shift details yet. However, if this is enabled, the employee can still close out the shift by using "Deposit to safe" but they won't be able to see the cash in the drawer according to POS. |
View Previous Closed Shifts | This permission allows the employees to view the previous shift report. We recommend having this enabled for everyone since it allows the employee or manager to compare between shifts or review information from another day. |
Restrict Access To More Settings | This permission will restrict access to more settings icon in the settings dropdown. In more settings, the user will find the activation of inventory mode, print "tip" line on the receipt , set the font size, and more. We recommend restricting access to newer employees who may yet be familiar with the settings to prevent them from getting distracted or making mistakes that will later require troubleshooting. |
Don't Allow To Access Printer Options | This permission will restrict access to "Printer Options" (printer settings) on the app. When the restriction is enabled, the app will show a list of employees who have access to this feature. To review the "Pritner Options" an employee from the list needs to log in to the app |
Don’t Allow "Capture All" transactions | This permission will restrict access "Capture All" button in the Manage Transactions option under the Settings. When the restriction is enabled, the app will show a list of employees who have access to this feature. To capture all transactions the an employee from the list needs to log in to the app |
